Spreadsheet improvements 7/9: Functionality

This is the seventh deep dive of the 9 ways to improve your spreadsheets” blog series.

This post elaborates on the importance of evaluating potential improvements to the functionality of the spreadsheet.

Can your spreadsheets do more for you?

The answer to this is most likely “yes!”.

Whatever your level of experience of using Excel, from beginner to expert there’s always room to enhance your spreadsheets. If you think it’s possible then don’t be afraid to reach for it, think big, dare to imagine!

Here are some tips to get you started:

1. Advanced formulas

Use more advanced formulas to reduce the number of columns or rows. For example, instead of referencing separate cells, try embedding VLOOKUPs within other formulas.

It might sound daunting, but the goal is to make your tasks easier so invest in developing this new process and it will save you time in the long run. Set up your data logically and use lookups and SUMIFs to minimize repetitive calculations. Always double-check your work and your assumptions, but don’t be afraid to experiment!

2. Ask around

People in your business may know how, or have seen something that could be useful previously, an effective or well-received graph or chat that displays data in a different way. Often overlooked is what has been produced before.

Learning from past successes and failures can help you present data in a clear, understandable way that will ensure you are getting the message across to the stakeholders in a way that is clear, easy to understand, and appropriate. Charts and graphs can be useful, but sometimes stakeholders just want a table.

3. Google it

For simple tasks and quick wins, Google and AI tools are your friends. There’s a wealth of knowledge at your fingertips. If you can imagine it, ask, “How can I…?” and see what solutions you find.

4. Hire a specialist

For bigger ticket tasks such as (but not limited to) revamping your data strategy, consider bringing in a Data Analyst or Data Solutions Consultant to help guide you toward improvements. Just like you wouldn’t take your car to a dentist, let data enthusiasts handle your data needs. Whether leveraging the in-house skills within, hiring an Analyst for full-time data support, or getting an objective and fresh strategic support from an external board advisor, consultant or project lead, make the most of the options available to transform your data into something useful that can drive the business forward. 5. Link and integrate

Connect your spreadsheets to databases like SQL servers and use dashboard visualization tools like  Tableau or Power Bi. This allows real-time updates to your data in one place, filtering through to subsequent reports, cutting down on tasks repetition and allowing for a single source of truth.

Also, many companies have started to realise how powerful collaborative tools like Teams are to enhance this process, enabling live information sharing. Lastly, do you need quicker processing power? Think about investing in Database architecture. Do you need more interactive dashboards? Think about separate sheets for data presentation or use dashboard tools.

6. Sandbox

Our advice is always to make a copy of the sheet you want to revamp, then have a play around with this copy until you find something you want to implement in your ‘real’ or ‘final’ version.

By implementing these strategies, you’ll unlock the full potential of your spreadsheets, making them powerful tools that drive your business forward.
